PRIVACY NOTICE
How we handle your information.
What we collect, why, who sees it and how long we keep it. Written to what we actually do.

1. Who is responsible for your data
The data controller is TKJ Global Media Ltd (company number 08272919), registered office 94 Queen Elizabeth Road, Wakefield WF1 4RJ, trading as TKJ Legal Services. We are registered with the Information Commission (which operates as the Information Commission’s Office, or ICO) under number ZC223758. Contact: hello@tkjlegalservices.co.uk.
2. What we collect
Enquiries and bookings: your name, email, phone number, organisation and what you tell us about the matter. Engagements: the documents and information you give us to do the work, which may include personal data about other people (employees, customers, counterparties) and occasionally special category data. Helpline calls: the call recording and any notes. Calls to TKJ Legal Services are recorded for quality, training, and compliance purposes in accordance with our Privacy Policy. Website: standard web-server logs held briefly by our host; this site sets no cookies unless you use a form or log in (see the cookie notice).
3. Why, and on what legal basis
To respond to your enquiry and perform the engagement (contract); to keep records of the advice we gave and to defend or bring legal claims (legitimate interests); to meet our legal obligations, including accounting and tax records; and, only with your consent, to send you occasional updates. Where documents you give us contain special category data we rely on the substantial public interest and legal-claims conditions in the Data Protection Act 2018 as applicable, and on your explicit consent where we ask for it.
4. Who we share it with
Providers who process data on our behalf: 20i Limited, our website and mailbox host, which processes in the United Kingdom; Twilio, which carries calls to the helpline number (contracting through Twilio Ireland Limited for customers registered in the UK, with processing in Ireland and the United States); Eleven Labs Inc. (United States), which answers the helpline, records and transcribes the call and generates the assistant’s replies; and Google (United States), the language-model provider Eleven Labs uses for those replies. Professional advisers and insurers where necessary to defend a claim. Regulators, courts and law enforcement where the law requires. We do not sell personal data and we do not use your documents to train any automated system.
5. International transfers
Where a provider processes data outside the United Kingdom we rely on an adequacy regulation or the International Data Transfer Agreement or Addendum, and we say so in the processor list above.
6. How long we keep it (proposed periods, to be confirmed before publication)
Enquiries that do not become engagements: 12 months. Engagement files, including the documents you gave us and the advice we gave: 6 years after the engagement ends, which is the limitation period for contract claims. Helpline recordings: 12 months, or for the life of the engagement file where the call became one. Accounting records: 6 years as required by law.
7. Your rights
You can ask for a copy of your personal data, ask us to correct or delete it, object to or restrict processing, ask for it in a portable form, and withdraw consent at any time. Write to hello@tkjlegalservices.co.uk. Section 8 explains how to complain.
8. How to complain
If you are unhappy with how we have handled your personal data, you have the right to complain to us. Email hello@tkjlegalservices.co.uk, or write to TKJ Global Media Ltd, 94 Queen Elizabeth Road, Wakefield WF1 4RJ. We will acknowledge your complaint within 30 days of receiving it, look into it, keep you informed of progress and tell you the outcome without undue delay. You also have the right to complain to the Information Commission, the UK’s data protection regulator (the ICO), at ico.org.uk, whether or not you have complained to us first.
